THE STEWARD CLUB PRIVACY NOTICE

The Steward Club LLC (“The Steward Club,” “we,” “us,” or “our”) respects the privacy of the individuals and households we serve. Because stewardship may involve information about a Member, a residence, and the systems and circumstances of that residence, we approach privacy as an important part of the trust placed in us.
This Privacy Notice explains how we collect, use, disclose, retain, and protect information obtained through our website, inquiries regarding stewardship, the membership evaluation and enrollment process, and the provision of stewardship services.
For purposes of this Notice, “Member” refers to an individual who has entered into a membership relationship with The Steward Club. “Property” refers to a residence for which stewardship is requested, evaluated, or provided.
1. INFORMATION WE COLLECT
The information we collect depends on how you interact with The Steward Club.
A. Information You Provide Through Our Website
When you submit an inquiry to determine whether stewardship may be available for your home, we may collect:
* first and last name;
* telephone number;
* email address;
* full property address; and
* information you choose to include in your message.
Submitting an inquiry allows us to evaluate the request, determine whether stewardship may be available for the Property, and contact you regarding that inquiry.
B. Information Collected During Membership Evaluation
If you proceed beyond an initial inquiry, we may collect information reasonably necessary to evaluate the Property and determine the stewardship appropriate for it, including information regarding:
* the Property and its general characteristics;
* size, configuration, occupancy, and use;
* significant features and systems;
* complexity or characteristics relevant to stewardship;
* existing professional care relevant to the Property; and
* other information you voluntarily provide during conversations or an Initial Home Assessment.
C. Information Collected During Membership and Stewardship
If a membership relationship is established, we may collect and maintain information reasonably necessary to understand, document, and steward the Property, including:
* Member and authorized-contact information;
* Property information;
* occupancy and extended-absence information relevant to stewardship;
* information regarding significant permanent or integral home systems;
* observations regarding the condition and operation of the Property;
* photographs and other property documentation;
* temperature, relative humidity, and other authorized non-invasive observations or measurements;
* relevant information regarding existing professional care of the Property;
* professional reports, records, warranties, or other documents voluntarily provided to us or obtained with authorization;
* recommendations, Member decisions, and conditions being monitored;
* stewardship visit records and reports;
* information maintained as part of the Property’s Home Record; and
* communications relating to the Property or membership.
We seek to collect information that is relevant to stewardship rather than creating an unnecessary historical archive of the Property.
D. Property Access and Security Information
When voluntarily provided and reasonably necessary to perform stewardship, we may maintain information relating to access to the Property, including gate or entry instructions, authorized access procedures, alarm or security information, key or garage-access information, and similar instructions.
Because of the nature of this information, we recognize that it warrants particular care. We use such information for legitimate stewardship and access purposes and limit its use and disclosure accordingly.
E. Payment and Transaction Information
Membership payments are expected to be processed through third-party financial institutions or payment providers.
The Steward Club does not intend to collect or store credit card information through its website. Where bank-account or other financial information is required to authorize an electronic payment, that information may be collected and processed by the applicable financial institution or payment provider subject to its own privacy and security practices.
We may maintain records concerning payments, amounts, dates, authorizations, and membership billing without necessarily maintaining the underlying bank-account credentials used to process those payments.
F. Information Collected Automatically
When you visit our website, our website platform and related technologies may automatically collect certain technical and usage information, which may include:
* Internet Protocol (IP) address;
* browser and device information;
* approximate geographic information derived from technical data;
* pages viewed;
* referring source;
* date and time of visits;
* interactions with the website; and
* similar website-performance and usage information.
Our website is initially expected to use Wix and Wix Analytics for website operation and basic analytics.
2. HOW WE USE INFORMATION
We may use information we collect to:
* respond to inquiries;
* determine whether stewardship is available for a particular Property or area;
* communicate with individuals who have requested information from us;
* schedule and conduct Initial Home Assessments;
* evaluate the requirements and complexity of stewardship for a Property;
* prepare individualized membership proposals;
* establish and administer membership relationships;
* perform the Stewardship Foundation and ongoing stewardship services;
* understand, observe, document, and compare the condition of a Property over time;
* create and maintain Steward Reports and the Home Record;
* maintain continuity of stewardship;
* identify conditions that warrant observation, recommendation, or professional attention;
* coordinate actions specifically requested or authorized by a Member;
* facilitate access to a Property when authorized;
* communicate regarding significant conditions, recommendations, emergencies, membership matters, and Member decisions;
* process and maintain records of payments and billing;
* operate, secure, maintain, and improve our website and business;
* maintain appropriate business, contractual, and legal records;
* protect the rights, safety, property, and legitimate interests of Members, The Steward Club, and others;
* investigate suspected fraud, misuse, security incidents, or unlawful activity; and
* comply with applicable laws, legal processes, and regulatory obligations.
We do not use information collected through a stewardship-availability inquiry to enroll you automatically in marketing newsletters or unrelated promotional mailing lists.
3. HOW WE DISCLOSE INFORMATION
The Steward Club does not sell personal information.
We also do not sell Member or Property information as leads to contractors, real estate professionals, insurers, service providers, or other businesses.
We may disclose information in limited circumstances when reasonably necessary for legitimate purposes, including:
Service Providers. We may use trusted third parties that provide services supporting our operations, such as website hosting, electronic signatures, communications, data storage, information technology, accounting, banking, payment processing, or other business functions. They may receive information reasonably necessary to perform those functions.
Professionals and Property Service Providers. At a Member’s request, with a Member’s authorization, or when reasonably necessary to carry out an authorized stewardship function, we may communicate relevant Property information to inspectors, contractors, technicians, or other professionals. We seek to limit such disclosures to information reasonably relevant to the particular purpose.
Emergency or Protective Circumstances. Information may be disclosed when reasonably necessary to respond to an apparent emergency, protect persons or property, contact emergency services or appropriate professionals, or take other action authorized under the applicable membership relationship.
Legal and Compliance Purposes. We may disclose information when reasonably necessary to comply with applicable law, court order, subpoena, legal process, governmental request, or to establish, exercise, or defend legal rights.
Business Transactions. If The Steward Club is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be disclosed as reasonably necessary in connection with that transaction, subject to appropriate confidentiality protections where applicable.
We do not disclose information merely because a third party may wish to market products or services to our Members.
4. HOME RECORD AND PROPERTY INFORMATION
The Home Record is intended to preserve continuity of stewardship beginning with the establishment of stewardship for a Property.
It may contain observations, reference photographs, professional reports or information, Member decisions, significant conditions, recommendations, stewardship history, and other information relevant to understanding the Property over time.
The Home Record is not intended to serve as a public record of the Property, a marketing database, or a comprehensive reconstruction of the Property’s history before stewardship began.
Information contained in a Home Record is used primarily for the stewardship of the applicable Property and for legitimate administrative, legal, continuity, and recordkeeping purposes associated with that relationship.
Any transfer, release, or provision of a Home Record to a subsequent owner or other person will be subject to the applicable membership agreement, authorization, legal requirements, and procedures then in effect.
5. PHOTOGRAPHS AND PROPERTY DOCUMENTATION
Stewardship may involve photographing portions of a Property for purposes such as establishing reference conditions, documenting observations, comparing conditions over time, supporting recommendations, and maintaining the Home Record.
Property photographs and documentation collected in connection with stewardship are not intended for public display.
We will not use identifiable photographs of a Member’s Property for advertising, promotional materials, social media, or public marketing merely because those photographs were collected in the course of stewardship. Any such use would require separate authorization where appropriate.
6. COOKIES AND WEBSITE ANALYTICS
Our website platform may use cookies and similar technologies that are necessary for website operation, security, performance, and functionality.
We may also use the standard analytics capabilities provided by our website platform to understand matters such as website traffic, page visits, interactions, referral sources, and general website performance.
Browser settings may allow you to block, limit, or delete cookies. Doing so may affect certain website functionality.
At launch, we do not intend to use the website for behavioral advertising or retargeting through tools such as the Meta Pixel or Google advertising technologies.
If our use of analytics, advertising technologies, cookies, or other tracking tools materially changes, we may update this Privacy Notice and implement additional privacy or consent mechanisms when appropriate or required.
7. COMMUNICATIONS
When you submit an inquiry requesting information about stewardship, you authorize us to respond to that inquiry using the contact information you provide, including by telephone or email.
Such communications may include determining whether stewardship is available, discussing your inquiry, scheduling an Initial Home Assessment, answering questions, or continuing a conversation you initiated regarding potential membership.
Submitting an inquiry does not subscribe you to a newsletter or general marketing list.
Members may also receive communications reasonably related to their membership, Property, Steward Reports, recommendations, scheduling, billing, access, safety, or other stewardship matters.
8. DATA SECURITY
We take reasonable administrative, technical, and physical measures appropriate to the nature of the information we maintain and the size and nature of our operations to protect information against unauthorized access, acquisition, use, alteration, or disclosure.
Access to Member and Property information is intended to be limited to persons who reasonably require access for legitimate stewardship, operational, administrative, or legal purposes.
No method of electronic transmission or information storage can be guaranteed to be completely secure. Accordingly, although we take reasonable measures to protect information, we cannot guarantee absolute security.
9. DATA RETENTION
We retain information for as long as reasonably necessary for the purposes for which it was collected, including to evaluate stewardship inquiries, provide and document stewardship, maintain appropriate continuity and Home Records, administer membership relationships, satisfy contractual and legal obligations, resolve disputes, protect legitimate business interests, and maintain appropriate business records.
Different categories of information may require different retention periods.
When information is no longer reasonably necessary for a legitimate business, stewardship, contractual, or legal purpose, we may delete, destroy, anonymize, or otherwise dispose of it in a manner appropriate to the nature of the information and our systems.
10. YOUR INFORMATION
You may contact us to request that we review or correct personal contact information we maintain about you or to ask questions regarding our handling of your information.
Certain information may need to be retained notwithstanding a request for deletion or modification when reasonably necessary to maintain the integrity of a Home Record, document services performed, comply with contractual or legal obligations, resolve disputes, prevent fraud or misuse, protect persons or property, or maintain legitimate business records.
We may take reasonable steps to verify the identity and authority of a person making a request involving Member, Property, access, security, or Home Record information before acting on the request.
11. THIRD-PARTY SERVICES AND LINKS
Our website and operations may rely on third-party services, including website hosting, electronic-signature providers, financial institutions, payment processors, and other technology or professional-service providers.
Those third parties may process information under their own privacy notices and terms.
Our website may also contain links to websites operated by third parties. We are not responsible for the privacy practices or content of websites that we do not control.
12. CHILDREN’S PRIVACY
The Steward Club is not directed to children, and we do not knowingly solicit personal information through our website from children under 13.
If we learn that personal information from a child under 13 has been collected through our website without appropriate authorization, we will take reasonable steps to delete it.
13. CHANGES TO THIS PRIVACY NOTICE
We may update this Privacy Notice from time to time to reflect changes in our operations, technology, services, legal requirements, or privacy practices.
When we make changes, we will update the “Last Updated” date at the top of this Notice. Material changes may be communicated in an additional manner when appropriate.
Your use of our website after an updated Notice is posted does not alter any rights that applicable law may provide.
